Altus Organizasyon Tanıtım Turizm Otomotiv Kiralama Hiz. A.Ş. (“the Company”) places great importance on the protection and processing of your personal data while carrying out its activities. Within the framework of the Law on the Protection of Personal Data No. 6698 (“LPPD”), all necessary technical and administrative measures are taken to ensure that your personal data is processed, stored, transferred, and secured in accordance with the law.

Within the scope of services such as congresses, rallies, seminars, meetings, concerts, fairs, launches, promotions, advertising, media, accommodation, ticketing, live broadcasting, and similar organizational services, our Company may process different types of your personal data, and the confidentiality of this data is handled with the utmost care.

Within the scope of our obligation to inform, we would like to inform you about the personal data we process, the purposes for which we process this data, to whom and for what reasons we may transfer it, the methods and legal bases for collecting your data, and your rights under the LPPD.

Our Company processes your personal data as the “Data Controller” under the LPPD.

B. PROCESSED PERSONAL DATA

Due to the nature of its field of activity, our Company collects various personal data from participants, institution employees, speakers, artists, or other natural persons involved in different organizations. This data may vary depending on the nature of the organization and the demands of the institution.

1) Processed Data Categories

Identity Data: Name-surname, T.R. identity number, date of birth, gender, marital status, identity information of children, blood type information, position and title information.
Contact Data: Phone number, e-mail address, residence address, emergency contact person information.
Profession and Position Data: Employing institution, position, department, professional information.
Visual and Auditory Data: Photograph, video recording, audio recording, live broadcast recordings, visuals in commercials.
Financial Data: Bank account information, IBAN, travel allowance payments, invoice information.
Travel and Accommodation Data: Flight information (departure-return dates, times, destination), airline customer number (Miles&Smiles, etc.), hotel reservation information, duration of stay, transfer information, companion information.
Customer Transaction Data: Participant records, ticketing information, phone call records kept during RSVP processes.
Other Data: Data arising from special needs of organizations (e.g., photograph and identity information for badge printing, blood type information for emergency medical intervention).

C. PURPOSES OF PROCESSING PERSONAL DATA

Your personal data is processed for the purposes of;

Planning and execution of organizations, congresses, events, seminars, and similar activities,
Performing registration and identity verification of participants,
Preparing materials such as participant cards, ID cards, name badges, and similar items,
Carrying out live broadcast and media activities, preparing advertising, promotional, and printed-visual content,
Creating congress and event participant records, using software-based registration tracking systems,
Ensuring communication with participants, conducting call center interviews within the scope of RSVP services,
Providing participant security, emergency, and health services,
Executing travel, accommodation, and transfer services, carrying out ticketing and reservation procedures,
Fulfilling contracts with and obligations to the institutions we serve,
Measuring participant satisfaction and improving service quality,
Managing business relationships between our Company and the public institutions and private organizations we serve,

D. TO WHOM AND FOR WHAT PURPOSES PERSONAL DATA IS TRANSFERRED

Your personal data is transferred only to the extent necessary for the performance of the work, within the scope of Articles 8 and 9 of the LPPD, to;

Supplier companies from which services are procured for the organization (e.g., card printing companies, software providers, logistics service providers),
Business partners and subcontractors involved in the organization process,
Media and broadcasting organizations (within the scope of live broadcasting and advertising activities),
Relevant public institutions and organizations depending on the nature of the organization (e.g., law enforcement for security measures, relevant administrative authorities for official permit processes),
Hotel businesses, travel agencies, airline companies, and reservation intermediary organizations,
Your data may be published publicly within the scope of advertising content,

Additionally, your data may be shared with business partners who provide support services such as cleaning, security, catering, and logistics, and who operate under a confidentiality commitment.

In the event of any dispute, your personal data may be transferred to judicial and administrative authorities, relevant public institutions and organizations, and our Company's lawyers and financial advisors.

Your personal data may be transferred abroad in certain cases within the framework of the law. For congresses, seminars, meetings, accommodation, and travel services to be held abroad as part of an organization, it may be necessary to transfer your personal data to hotels, airline companies, or relevant foreign service providers. Since such transfers are non-continuous and incidental, in accordance with Article 9 of the LPPD No. 6698, if one of the data processing conditions specified in Articles 5 and 6 of the Law exists, a transfer abroad may be made without obtaining explicit consent.

Photographs, videos, and similar visual-auditory records taken by our Company within the scope of an organization are processed only in line with the instructions of the served institution or organization. If these records are shared on public platforms, the responsibility for this belongs to the served institution or organization. Altus Organizasyon Tanıtım Turizm Oto. Kiralama Hiz. A.Ş. does not act as a data controller for such sharing but only as a data processor.

E. METHOD OF COLLECTING PERSONAL DATA AND LEGAL BASIS

Your personal data is collected through;

Lists forwarded to us by the organizations we provide services to,
Participant registration forms, electronic applications, reservation records,
Call center interviews, e-mail correspondence, phone calls, social media accounts,
Photographs and video recordings taken during the organization,

Your data is processed based on the legal grounds of;

LPPD Art. 5/2 (c) “being directly related to the establishment or performance of a contract,”
(ç) “being necessary for the data controller to fulfill its legal obligation,”
(f) “data processing being necessary for the legitimate interests of the data controller, provided that it does not harm the fundamental rights and freedoms of the data subject.”

F. YOUR RIGHTS AS THE DATA SUBJECT

Pursuant to Article 11 of the LPPD, as a data subject, you have the right to;

Learn whether your personal data is being processed,
Request information if it has been processed,
Learn the purpose of processing and whether it is used in accordance with its purpose,
Know the third parties to whom your personal data is transferred domestically,
Request correction if it is incomplete or incorrectly processed,
Request the deletion or destruction of your personal data if the reasons for its processing no longer exist,
Request that these actions be notified to the third parties to whom your personal data has been transferred,
Object to the emergence of a result against you by analyzing it exclusively through automated systems,
Demand compensation for damages in case you suffer damage due to unlawful processing in violation of the LPPD,

G. APPLICATION TO THE DATA CONTROLLER

You can submit your requests regarding your personal data in accordance with the provisions of the “Communiqué on the Procedures and Principles of Application to the Data Controller”;

Applications will be concluded free of charge as soon as possible and within thirty days at the latest. However, if the transaction requires an additional cost, the fee in the tariff determined by the Personal Data Protection Board may be charged.
